Managing Fax Servers in SmartPBX

SmartPBX offers robust tools for managing fax services directly from its portal. This guide will help you navigate the Fax Server management features, from setting up fax numbers to sending a new fax.

Logging into the Portal

To begin managing your fax services, follow these steps:

  1. Access the Portal:

    • Visit the SmartPBX portal at the URL provided to you.
    • Log in using the credentials that were provided to you.
    • You will be greeted by the dashboard as shown below:

  2. Navigating to the Fax Server:

    • From the dashboard, click on the Fax Server icon.
    • Alternatively, you can go to the Applications menu and select Fax Server.

Managing Fax Numbers

Once you enter the Fax Server section, you will see a list of your fax numbers along with several tools available for each.


Available Tools

For each fax number listed, you have the following tools available:

  • New: Click this to compose and send a new fax. It will open a form where you can enter the details for your fax.
  • Inbox: View all incoming faxes associated with this number.
  • Sent: View all faxes that have been sent from this number.
  • Log: Access the log of all fax activities for this number, including sent and received faxes.
  • Queue: Check the status of faxes that are pending to be sent.

Editing Fax Server Settings

To edit the settings of a fax server, click on the fax number you wish to manage. This will bring you to the settings page:


Here, you can modify the following settings:

  • Name: The name associated with this fax server.
  • Email: The email addresses where notifications for received faxes will be sent.
  • Caller ID Name: The name that will appear on the recipient's fax machine.
  • Description: A brief description of this fax server for easy identification.

After making changes, click Save to apply the new settings.

Sending a New Fax

To send a fax, click on the New tool next to your desired fax number. This will open the New Fax form:


Fields Explanation:

  • Header: Text displayed beneath the logo in the header of the cover sheet (optional).
  • From: Enter the sender’s name for the cover sheet (optional).
  • To: The recipient's name for the cover sheet (optional).
  • Fax Number: Enter the recipient's fax number. You can add multiple numbers by clicking the + button.
  • Fax File(s): Attach the document(s) you wish to fax. The files must be in PDF or TIF format.
  • Resolution: Choose the transmission quality. Options include Normal, Fine, and Superfine.
  • Page Size: Select the page size to transmit (e.g., Letter, Legal, A4).
  • Subject: Enter a subject for the cover sheet (optional).
  • Message: Enter any additional message you want to include on the cover sheet (optional).
  • Footer: Text displayed in the footer of the cover sheet (optional).

Sending the Fax

After filling out the form, click Send to transmit the fax. You can also Preview the fax to see how it will look before sending it.
