Managing Fax to Email and Email to Fax in SmartPBX

SmartPBX offers convenient features for managing fax to email and email to fax services. Fax to email allows you to receive incoming faxes as email attachments, while email to fax enables you to send faxes via email. This guide will walk you through using these features effectively.

Receiving Faxes via Email (Fax to Email)

Step 1: Access the SmartPBX Portal

  1. Log in to the SmartPBX portal using your credentials.

Step 2: Configure Fax to Email

  1. Navigate to the Applications > Faxes section and select the fax destination you would like to manage in the Fax Servers section near the bottom.
  2. Configure the following settings:
    • Forward incoming faxes to email: Specify the email address(es) where you want to receive incoming faxes.
    • Domains allowed to use email-to-fax: Type an entire domain you would like to have the ability to send faxes via email.
    • Additional authorized email addresses for email-to-fax: Add any additional email addresses that should be allowed to send that dont match the domains above, such as a gmail or outlook.com address.

Step 3: Save Settings

  1. Click the Save button to save your Fax to Email settings.

Sending Faxes via Email (Email to Fax)

To send a fax by email:

  1. Open your email client (e.g., Outlook, Gmail).

  2. Compose a new email.

    1. In the To field, enter:
      faxnumber@fax.smartpbx.io

      1. Replace faxnumber with the 10-digit destination fax number.
        Example: To send to 416-555-1234, address it to:
        4165551234@fax.smartpbx.io

    2. In the Subject Field:

      1. If left blank, the system will use the fax number assigned to your email address.

      2. Alternatively, Enter your company's outbound fax number. The number entered will be the number the fax is sent from. This is useful if your email is authorized to send from multiple faxes.

    3. In the Body of the email (optional):

      1. If you would like to send anything from the body of the email, you will first need to put the word "body" into the subject line.

      2. Now anything typed in the body of the email will be sent as a cover letter to the fax.

    4. Attachment:

      1. Attach the document(s) you want to fax.

Supported File Types

You may attach any of the following file types:

  • .pdf

  • .doc, .docx

  • .rtf

  • .xls, .xlsx, .csv

  • .txt


Additional Tips

  • Ensure that the email address used for fax to email is authorized to receive faxes.
  • Verify that the subject line format includes the sending and destination fax numbers in square brackets.
  • Confirm that attachments are in PDF format for email to fax.
