Managing Fax to Email and Email to Fax in SmartPBX
SmartPBX offers convenient features for managing fax to email and email to fax services. Fax to email allows you to receive incoming faxes as email attachments, while email to fax enables you to send faxes via email. This guide will walk you through using these features effectively.
Receiving Faxes via Email (Fax to Email)
Step 1: Access the SmartPBX Portal
- Log in to the SmartPBX portal using your credentials.
- Navigate to the Applications > Fax Server section and select the fax destination you would like to manage.
- Configure the following settings:
- Email Address: Specify the email address(es) where you want to receive incoming faxes.
- User List: Choose any users you would like to have access to this fax in their user portal.
- Advanced: In the advanced section, set the authorized sender email addresses.
Step 3: Save Settings
- Click the Save button to save your Fax to Email settings.
Sending Faxes via Email (Email to Fax)
Step 1: Compose an Email
- Open your preferred email client (e.g., Outlook, Gmail).
- Create a new email message.
Step 2: Address the Email
- In the recipient field, enter the recipient in the following format:
Step 3: Attach the Document
- Attach the document you want to fax as a PDF file.
Step 4: Set the Subject
- In the subject line, specify the sending fax number in square brackets followed by the destination fax number in the following format:
- [Sending Fax Number]Destination Fax Number
Replace [Sending Fax Number] with your fax number (if applicable). Replace Destination Fax Number with the recipient’s fax number. A user sending a fax from their fax number of 111-222-3333 to 777-888-9999 would have a subject line as follow:
Step 5: Send the Email
- Click the Send button to send the email.

- Ensure that the email address used for fax to email is authorized to receive faxes.
- Verify that the subject line format includes the sending and destination fax numbers in square brackets.
- Confirm that attachments are in PDF format for email to fax.
