Your Polycom VVX 250 desktop phone is equipped with various features and functions to enhance your communication experience. This quick start guide will help you become familiar with the essential features and operations of your device.
Key Features and Functions
Voicemail Indicator
Located on the upper right corner of the phone.
The light flashes red to indicate new messages.
Softkeys
Functions for the soft-key buttons appear directly above them on the display.
Their functions are context-sensitive, changing based on your current activity.
For example, during a conference, soft-keys display functions related to conferencing.
Home Button
Located to the right of the navigational buttons.
Press Home from any screen to return to the home screen.
Navigation Button
Scroll through options and lists on the display using left/right or up/down.
To select an item, press the OK button in the center of the four-way navigation arrows.
To cancel or go back to a previous screen, press the Back button to the left of the navigation arrows.
Headset, Speaker, and Mute Keys
Located along the right edge of the phone.
Use these keys as labeled for their respective functions.
Volume Key
Located at the bottom of the phone below the dial pad.
Adjusts the volume of the handset, headset, speaker, and phone’s ringer.
Transfer Button
Transfers active calls to another number.
Hold Button
Places a call on hold. Held calls can only be retrieved by the same phone that placed them on hold.
Back Button
Cancels actions or returns to the previous screen when pressed.
Line Keys
Indicate the status of your lines and associated activity.
Backlighting informs you when a line is idle, ringing, in use, on hold, or disconnected.
These keys can also be programmed for BLF or speed dialing.
Basic Operations
Placing a Call
Dial the number.
Pick up the handset for a regular call.
For a hands-free speakerphone call, dial the number, then press the Speaker button or Dial softkey.
Answering a Call
Pick up the handset to answer a call.
For a hands-free speakerphone call, press the Answer softkey or the Speaker button.
Dialing from Directories
Press the Home button.
Select Directories.
Navigate to Contact Directory.
Select the contact and then the number from the Contact Information Screen.
Press OK to dial.
This directory is populated from the Contacts application on the PBX.
Dialing from Recent Calls
Press the Home button.
Select Directories.
Navigate to Recent Calls.
Use the Sort softkey to order calls or Type to filter specific calls.
Select a call record to initiate a call.
Placing a Call on Hold
From Lines, Calls, or Active Call view, press the Hold softkey or function button.
To retrieve the call, press the More softkey and then the Resume softkey or Hold function button again.
Call Park / Call Retrieve
Call Park places a call on hold for other users to retrieve from any phone in the office.
To Park: Press any available Park line key. Your administrator must have enabled the call park profile for phones that need the parking feature.
To Retrieve: Press the Park line key associated with the call you would like to retrieve.
Transferring a Call
Announced Transfer: Press the Transfer button to place an active call on hold. Dial the number and press the Send softkey to transfer the call. Once the third-party answers, announce the call and press the Transfer button, or hang up the phone. If the user is unavailable and does not answer, or does not wish to accept the call and hangs up, the caller will be placed back on your phone on hold, and will need to be retrieved.
Blind Transfer: Press the Transfer button to place an active call on hold. Press the Blind softkey (or More softkey if Blind is not visible). Dial the number and press the Send softkey to complete the blind transfer.
Transfer to Voicemail: Press the Transfer button to place an active call on hold. Enter *99 and dial the party’s extension, then press #.
Muting a Call
Press the Mute function button to mute the phone’s microphone during a call. Press Mute again to unmute.
Listening to Voicemail
Press the Voicemail function button, or dial *97. To connect to another users voicemail, dial *98.
Enter your passcode, then press #. Your passcode by default is your extension number. You will be prompted to change this upon first login.
Follow the voice prompts to listen to or manage your messages.
3-Way Conferencing
Place the first call.
Press the More softkey and then the Conference softkey to initiate a conference call and dial the next number.
The active call will be on hold during the process.
To join all parties in the conference, press the Conference softkey again.
To remove yourself from the call but keep others connected, press End Call.
Use the Manage softkey to manage participants,
Press the More softkey and then the Split softkey to end the conference and hold all participants.
Forwarding Calls
Press the Forward softkey from Home or Lines view.
Select the forwarding type, enter the forwarding number, and press Enable to forward calls.
To turn off Call Forwarding, press the Forward softkey. Select the forwarding type and press Disable.
Visual Call Park
Check with your system administrator if this feature is not enabled.
Visual Call Park is an optional Unified Communications functionality. Once requested, the appearance of the available Visual Call Parks is represented in the line keys / Busy Lamp Field (BLFs) on every phone that’s in the customer’s location. It is either vacant or occupied (with a parked call).
Everyone on the site sees the same parking spots and their status (whether a call is parked or not), and can either park a call in a vacant spot, or retrieve a call from an occupied spot.
For consistency, all phones in the location must be provisioned precisely the same way, in this case being the Poly VVX 450. The client must also select between 2 parking spots, or 4 parking spots.
To use Visual Call Park, while on an active call:
Press the HOME Button, so the Line Key view is displayed. Here you will see your available Visual Call Park spots.
Proceed to park the call at any vacant call park spot by tapping the VISUAL CALL PARK (May be called “VCP 1” or “Park 1”) spot.
Once this is complete, the call will be parked and indicated by a white phone icon, and the button associated with the slot will light up RED.
Once the call is parked, everyone in the location can see the parked call occupying the parking spot.
Any user can then retrieve the call to his / her line freeing up that spot.
To retrieve the Parked Call, press the corresponding line key.
Key Expansion Module
Line Keys
Line buttons are located on the sides of the display. These buttons are used to view calls on a line or access speed dials or show call appearances.
Page Buttons
The Page buttons are used to switch pages of line key options.
